About the Role: We are seeking an experienced Executive Assistant to provide high-level administrative support to a CEO in the Environmental Services industry. The ideal candidate will be highly organized, proactive, and professional, with the ability to manage a range of administrative tasks while handling confidential information with discretion. This role is essential in ensuring the CEO’s office operates efficiently and smoothly.

Key Responsibilities:

  • Administrative Support:
    Manage the CEO’s calendar, schedule meetings, appointments, and travel arrangements. Prepare and edit correspondence, communications, presentations, and other documents. Coordinate logistics for executive meetings and key events.
  • Project Management:
    Follow up on action items and ensure timely completion of tasks assigned by the CEO.
  • Communication:
    Serve as the primary point of contact between the CEO and internal/external stakeholders. Handle incoming and outgoing communications, including emails and mail. Draft and distribute meeting agendas, minutes, and follow-up action items.
  • Research and Analysis:
    Conduct research on various topics as requested by the CEO and provide summarized reports and insights. Assist in the preparation of reports and presentations for internal and external use.
  • Confidentiality and Discretion:
    Handle sensitive information with the utmost confidentiality and discretion. Maintain confidential files and records in an organized and accessible manner.
  • Travel Coordination:
    Arrange travel itineraries, accommodations, and transportation for the CEO and other team members as needed.
  • Special Projects:
    Undertake special projects as assigned by the CEO, including event planning and stakeholder engagement.

Qualifications:

  • Bachelor’s degree or equivalent experience
  • Proficient in Microsoft Office suite
  • Experience in managing multiple priorities, administrative coordination, and logistics
  • Well-organized, detail-oriented, with strong follow-up skills
  • Excellent written and verbal communication skills
